What are Entities?
Entities refer to the distinct legal units or divisions under which your company operates. These could include subsidiaries, divisions, or other legal structures recognized by regulatory bodies. Each entity is responsible for specific aspects of operations, including waste management, and must be accurately reflected in your records.
Specifying and managing these legal entities is critical for:
- Accurate Ticket Creation: Ensures the correct legal entity is designated for waste generation, which impacts compliance and reporting.
- Linked Location Data: Helps associate specific locations with the appropriate legal entity.
- Correct Documentation: Affects the dropdown options in the ticket creation workflow and ensures accurate information on manifests and shipping documents.
Instructions
1. Navigate to the Corporate Information Page
- From the Main Page, click 'Profile' and 'My Company' from the dropdown menu.
- Click 'Corporate Information' to access the page where you can manage your organization’s legal entities.
2. Add a New Legal Entity
- On the Corporate Information page, locate the Legal Entities section.
- Click + New Entity
- Fill out the applicable fields:
- Operator/BA Code: Enter the unique code assigned to your operations groups. Location data is pulled into the WiQ application using this code, so it is important to include all applicable BA codes your company uses.
- Operating Entity Name: This name will also appear in the 'Operator' dropdown menu during ticket creation and will appear on the manifest/shipping document under "Company Name". It is important that each legal entity has a unique operating entity name so that users can distinguish between them during ticket creation.
- AEPA Document Number (optional): Enter the AEPA document number if applicable to your facility. This number is associated with environmental compliance documents required by the Alberta Environmental Protection Agency (AEPA).
- While this number does not impact the current ticketing process, it is included in preparation for an upcoming feature. The AEPA integration will soon be available, and having this number ready will ensure a seamless transition when the feature becomes live!
WiQ Tip! Ensure all details are accurate to avoid issues during ticket creation. The correct Operator/BA Code and Operating Entity Name are essential, as they will influence the dropdown options in the ticket creation workflow and will be reflected on the manifest/shipping document.
- Click Add Entity to save the new entity. This entity will be available to your users during ticket creation.
3. Edit an Existing Legal Entity
- Locate the legal entity you would like to edit and click the edit pencil icon
- Update the necessary information and click Update Entity to save your changes
4. Finalize Changes
- Verify that the new or updated entities are listed correctly on the Corporate Information page.
- All changes are saved automatically when you click Add Entity or Update Entity.
