Instructions
1. Raise a Discrepancy
- As a receiver operator, you can initiate the discrepancy process from two areas within the application:
- Side Panel ticket view window: open the ticket and click 'Raise Discrepancy'. This will open the 'Ticket Discrepancy' page.
- Complete Ticket Page: open the ticket and click 'Complete Ticket'. This will open the ticket in the complete ticket page. At the bottom of the screen, click 'Raise Discrepancy'.
- Side Panel ticket view window: open the ticket and click 'Raise Discrepancy'. This will open the 'Ticket Discrepancy' page.
2. Submit Discrepancy Information
- Use the dropdown menu to select the 'Reason for Discrepancy'.
- Select the type of discrepancy from the drop down menu.
- Chose 'Other' to indicate a substantial discrepancy in load volume, or
- Chose 'Substances' to indicate a discrepancy with the waste details (code or class) selected by the generator
Description of Issue: in the open text box, provide an explanation of the discrepancy with the load.
Submit the discrepancy: Once the discrepancy details have been added to the ticket, there are two ways to document submission of a discrepancy:
Option #1: Verbal Confirmation
If the generator operator and receiver operator discussed the discrepancy over the phone and agreed on the necessary changes to the ticket, the receiver can proceed with the following steps:
- Click 'Verbal Confirmation'
- Enter Details: A pop-up will appear for you to input the generator's contact information and a brief description of the phone conversation, outlining the agreement to modify the ticket.
- Submit: After confirming the details, click ‘Submit.’ A green pop-up will confirm that the verbal confirmation has been logged.
- Make Adjustments: Click ‘Close’ to return to the ticket and make the agreed-upon changes. Note: Receivers can only modify ticket information if a verbal confirmation was made with the generator operator.
- Submit Changes: Once all changes are made, click ‘Submit Changes.’
- Complete Offload Details: You can now proceed with completing receipt of the ticket by entering the offload details for the ticket.
- *The generator is not required to complete any actions if a Verbal Confirmation is submitted.
Option #2: Submit a Discrepancy through WiQ
The receiver operator can submit a discrepancy request through the WiQ application. This will notify the generator operator to review the proposed discrepancy and make necessary changes to the ticket. To submit a digital discrepancy through WiQ, follow these steps:
- Click 'Submit Discrepancy'
- Confirmation: A pop-up will confirm that the discrepancy has been submitted and sent to the generator for review.
- Generator Reviews and Resolves the Discrepancy: The generator operator will receive a notification to review and modify the ticket details. Once they complete the changes, the ticket will return to the receiver operator for offload and completion. See 'Resolving a Discrepancy' for more information about what happens next in the process.
- Once the generator has provided a resolution to the discrepancy, you will need to complete 'Approving a Discrepancy resolution' to complete the ticket.
WiQ Tip! The discrepancy process is essential for tracking compliance and maintaining an audit trail. Please note that offloading the ticket cannot proceed until the discrepancy is resolved.
